AI Automation Engineer Needed to Build a Voice AI Office Assistant for a Moving Company

Hello, My name is Cortney, owner of 204 Can Do It All Moving Company. I am looking for an experienced AI automation developer to build a custom AI assistant for my moving company. I am not looking for a simple chatbot. I want an AI assistant that works like an office manager, helping with customer inquiries and quote preparation while keeping me in complete control. Phase 1 Goals AI Phone Receptionist The AI should professionally answer incoming business calls. It should: • Answer calls 24/7 (or according to my schedule) • Collect all customer information • Ask follow-up questions when information is missing • Answer common questions about our services • Record and transcribe every call • Send me a summary after each call • Transfer urgent calls directly to me ⸻ HoneyBook Integration When a new inquiry comes into HoneyBook, the AI should: • Read the inquiry • Contact the customer if information is missing • Request photos or videos if needed • Gather everything required to prepare an accurate quote ⸻ Customer Information to Collect The AI should collect: • Customer name • Phone number • Email • Moving date • Preferred start time • Pickup address • Drop-off address • Apartment, house, storage, office, POD, etc. • Number of bedrooms • Inventory list • Estimated number of boxes • Bed sizes • TV sizes • Stairs • Elevator • Long walk • Heavy items • Packing services • Junk removal • Furniture assembly/disassembly • Photos and videos if needed ⸻ Quote Preparation Once all information is collected, the AI should: • Recommend the proper truck size • Recommend the proper crew size • Estimate moving time • Prepare a suggested quote using my pricing rules • Create a draft HoneyBook proposal The AI must NEVER send pricing or a proposal without my approval. ⸻ Mobile Approval Everything must work from my iPhone. When a quote is ready, I should receive a notification that includes: • Customer name • Moving date • Pickup and drop-off locations • Recommended truck • Recommended crew • Suggested quote From my phone, I want to be able to: • Approve • Edit • Reject • Call the customer Once I approve the quote, the AI should automatically send the HoneyBook proposal and deposit request. ⸻ Customer Follow-Up The AI should automatically: • Follow up with customers who haven’t booked • Remind customers to pay deposits • Answer simple customer questions • Notify me when a customer replies ⸻ AI On/Off Controls This feature is required. I want complete control over when the AI is active. From my iPhone, I want to be able to: • Turn the AI receptionist ON or OFF • Turn AI quoting ON or OFF • Turn customer follow-ups ON or OFF • Pause all AI activity with one button • Resume AI activity with one button • Take over any conversation at any time • Transfer live calls directly to me AI ON • AI answers calls • AI gathers customer information • AI prepares quotes • AI waits for my approval AI OFF • Calls come directly to me • HoneyBook inquiries come directly to me • No automated customer responses are sent The AI should never prevent me from personally speaking with my customers. ⸻ Business Hours I want to be able to customize when the AI answers calls. Examples: • During business hours, ring my phone first. • If I don’t answer within a set amount of time, the AI answers. • After hours, the AI answers automatically. • I should be able to change these rules whenever I want. ⸻ Future Expansion I plan to expand this system in the future with: • Website AI chat • Facebook Messenger AI • Scheduling assistance • Crew scheduling • Payroll preparation • Business reporting • Customer review requests ⸻ Ownership I want to own the completed system.
