We're looking for one person to run our people ops, events, and remote-office plumbing — so our engineers can focus on building. This role has a light analytical edge: our office ops person also produces clean reports and keeps our internal data tidy, not just handles logistics.
What you'll own
- Recurring online team meetings: monthly lunch or evening gatherings — agenda, platform, logistics.
- 2–4 onsite meetings per year in Warsaw (integrations, hackathons) — venue, catering, vendors, budget, retro.
- Knowledge-shares, workshops, and integration events for our 30-person distributed team.
- Hiring ops with the People team: interview scheduling, candidate comms, offers, onboarding kits, access provisioning for new joiners.
- Remote-office admin: laptop shipping, SaaS subscriptions, invoices, benefits enrollment (LuxMed, Multisport, UNUM, Duolingo).
- Reporting and light analysis in Google Sheets / Excel — headcount, event budgets, vendor spend, benefits utilization.
- Keeping things tidy and improving processes — documentation in Redmine, HR handbook, event playbooks, onboarding checklists.
- Being the warm first touchpoint for candidates, new joiners, and partners.
You're a fit if
- 2+ years in office coordination, EA, or people ops — ideally at a remote-first tech company.
- Working Polish (B2+) is required — most vendors, candidates, and paperwork are in Polish. We're open to candidates from Ukraine or elsewhere who speak Polish comfortably; day-to-day team communication also works in English.
- Written English C1+.
- Reliable, consistent overlap with our business hours 10:00–15:00 CET — location doesn't matter as long as this works day in, day out.
- Comfortable with Google Workspace, Slack, and Redmine (or similar tools).
- You close loops without being chased. If someone has to ask twice, you fix the system, not just the ticket.
Bonus
- You've organized a hybrid or in-person retreat for 30+ people without losing sleep.
- Basics of any scripting language (Python, JS, Apps Script) or comfort with automations (Zapier, Make).
- Familiarity with Polish employment forms (UoP / UZ / B2B) and benefits providers (LuxMed, Multisport, UNUM).
Engagement
- Commitment: 40–80 hours per month (~10–20 hrs/week), long-term hourly contract. Realistic path to full-time in 12–18 months if the fit is right.
- Rate: competitive, discussed during the interview.
- Timezone: daily overlap with our core hours 10:00–15:00 CET.
- Start: paid trial task first — you'll design an online integration meeting for our 30-person team (platform choice, agenda, budget, invite copy). Same task we've refined internally for years — it tells us more than a CV ever could.
