Job Type: Contract · Part-time to start (10–20 hrs/week), scaling with performance Estimated Duration: Ongoing, with an initial trial period Experience Level: Intermediate–Expert Budget: Hourly — propose your rate (see below) I understand this is a web operations role, not just a virtual assistant position. We're seeking a highly capable, detail-oriented Web Operations Assistant to support our growing portfolio of online properties. This is not a simple administrative VA role. You'll work across multiple websites and platforms to manage, build, update, optimize, and maintain web properties — and help us run AI-assisted content workflows. You'll work directly with leadership on projects spanning website development, content publishing, community platforms, eCommerce, membership systems, marketing automation, and AI workflows. One of these projects is a mission-driven community resource platform built on a custom plugin stack (details shared with shortlisted candidates); others use page builders and standard marketing tools. Because our sites run on different stacks, we note below where each skill applies so you know exactly what you're walking into. The right person navigates WordPress confidently without hand-holding, catches problems before they become issues, and ships reliable work on schedule. WordPress (Advanced) — all sites Strong, self-directed experience with site administration, user management, page creation, theme customization, plugin management, troubleshooting, updates, content publishing, SEO-friendly formatting, and ongoing maintenance. Elementor (Advanced) — page-builder sites Used as the primary page builder on several of our properties (note: not all — one project is custom-coded and uses no page builder). You should build pages from mockups, modify layouts, create responsive/mobile-optimized designs, build landing and sales pages, work with containers/flexbox, create reusable templates, and troubleshoot display issues. Conversion-focused design experience is a strong plus. HTML & CSS (Intermediate–Advanced) — all sites You don't need to be a full-stack developer, but you should understand HTML structure, CSS styling, responsive design, layout troubleshooting, custom code insertion, and mobile responsiveness — enough to fix common front-end issues without a developer for every change. Ability to read PHP is a plus for our custom-plugin project. Claude AI & AI Workflow Experience — all sites We actively integrate AI into our operations, including plain-English summarization of complex source material (e.g., civic/policy content). You should be able to write effective prompts, improve and refine AI-generated content, organize repeatable AI workflows, and support documentation and content production. Experience with Claude, ChatGPT, Gemini, or similar is a major advantage. Plugin & Platform Experience Advanced Custom Fields (ACF) — page-builder sites Custom fields, repeater fields, field groups, dynamic content, and template integration. ACF lets us scale structured content and maintain large content libraries efficiently. WooCommerce — eCommerce + membership sites Product management and uploads, categories, pricing, coupons, order monitoring, customer-support coordination, and product-page optimization. On at least one project, WooCommerce powers paid memberships synced to a community platform, so membership/subscription familiarity is valuable. BuddyBoss — community/membership sites Community management, user profiles, member permissions, groups, activity feeds, and membership integrations. Several of our platforms are community- and membership-based where user experience matters. Email Marketing — Mailchimp and/or SendGrid — varies by site Campaigns, automation workflows, subscriber/audience management, tags and segments, basic reporting, and lead nurturing. We use Mailchimp on some properties and SendGrid for transactional/alert delivery on others — experience with either is welcome; both is ideal. Adobe Photoshop — all sites Image editing, banner and graphic creation, resizing, background removal, and basic branding updates for professional, optimized visual assets. Yandex Webmaster & Analytics (Plus) — select sites Site indexing, search visibility, analytics review, and performance monitoring across multiple search engines and traffic sources. How We Work We move fast and ship on schedule — when something's at risk, we cut scope, not quality, and we don't slip deadlines. We value honest, early communication and clear task ownership. Do great work and there's room to grow into more hours and responsibility. Budget This is an hourly contract — please propose your rate. We expect strong candidates in roughly the $15–$35/hr range depending on technical depth.
