Create Simple Workflow for WordPress

I have a WordPress website, Outlook Calendar, Square Payments, and Zoom for video sessions. I'd like to create the simplest, most reliable workflow using these tools. My goal is to allow clients to book appointments through my website, pay online, and have everything integrate smoothly. I'm looking for someone to review my existing tools and recommend the best solution before considering any custom development. I would like to use my current tools whenever possible and keep the system as simple and low-maintenance as possible.
