Job description:
We are an established commercial cleaning company based in Melbourne, Australia, looking for an experienced developer to build the first stage of a custom CRM and proposal management system.
This is not a basic contact database and we are not looking for a generic template with our logo added.
The heart of the system is our sales and proposal workflow:
Website enquiry → lead created in CRM → site walkthrough → notes and photos captured → pricing calculated → professional proposal created and sent → follow-up tracked → client accepts electronically → client becomes active
We need a developer who understands business systems, can recommend practical improvements and will be honest about what can realistically be delivered.
Stage 1 scope
Stage 1 should include:
Sales dashboard
Lead and opportunity management
Client and contact management
Automatic website lead integration
Walkthrough booking and notes
Photo uploads
Proposal creation and management
Reusable proposal templates for different industries
Ability to add, remove and reorder proposal sections
Pricing calculator showing cleaner cost, client price, gross profit and margin
Professional PDF proposal generation
Electronic acceptance and signatures
Proposal status tracking, including draft, sent, viewed, accepted and declined
Follow-up reminders and activity history
Conversion of an accepted proposal into an active client
Basic administration functions
Basic user roles and permissions
Website lead integration
Our new website will be the main source of inbound leads. Every website enquiry must automatically create a lead inside the CRM without manual data entry.
The integration should capture where available:
Client name
Company name
Phone number
Email address
Site address
Type of cleaning required
Preferred contact method
Message or notes submitted through the website
Date and time received
Website form or landing page used
Lead source
Google Ads, Meta Ads or campaign tracking information
UTM information
The system should also:
Notify the relevant ACS user when a new lead arrives
Place the lead into the correct sales stage
Allow follow-up tasks and reminders
Reduce duplicate leads where possible
Keep the original enquiry details and source history
Allow different website forms to feed into the CRM
Identify failed submissions or integration errors so leads are not lost
Continue working if the website is updated later
The proposal workflow
The proposal workflow is the most important part of this project.
We need to create a polished, professional and client-specific proposal within approximately 20 minutes after completing a site walkthrough.
The proposal system should allow us to:
Use templates for offices, warehouses, factories, gyms, schools, strata, medical sites and other industries
Duplicate a previous proposal
Add client-specific notes, photos, testimonials and case studies
Add, remove and reorder proposal sections
Preview the proposal before sending
Generate a professional PDF
Send the proposal electronically
Track whether it has been sent, viewed, accepted or declined
Collect electronic acceptance and signatures
Convert an accepted proposal into an active client
Technical requirements
We currently prefer PHP and Laravel, but we are open to another suitable technology if you can clearly explain why it would be better.
The successful developer must provide:
Full source-code ownership upon final payment
Code stored in an ACS-controlled private repository from the beginning
Hosting and system accounts under ACS ownership
Clean and documented code
A secure and scalable database structure
A system another competent developer can maintain later
Testing and quality assurance before launch
No compulsory monthly support agreement
We may add further stages later, including worker onboarding, WHS inductions, training records, document management, cleaner portals and additional automation.
Project delivery and staged access
We do not want to wait until the final week to see the complete system for the first time.

What will be completed in the first two weeks
What will be completed in the first four weeks
What will be completed by final delivery
Which part of the system will be usable first
When we can begin using that first working part

How often you will provide live demonstrations and working updates
Ideally, the first usable release should include:

This is the revenue-producing part of the system and should be prioritised.

16. Will you personally complete the work, or will any part be outsourced?
17. If you have a team, what role will each person have on our project?
18. What risks or technical challenges do you see in this project?
19. How will you test pricing calculations, PDF generation, electronic signatures, website integration, security and user permissions?
20. Confirm that ACS will own the full source code, database and all system accounts.
21. Confirm that the code will be stored in an ACS-controlled private repository from the start.
22. Confirm that hosting, domain, email services and third-party accounts will be registered under ACS ownership.
23. What warranty period is included after launch, and what does it cover?
24. What are the optional support costs after the warranty period?
