We are an Australian privately owned family investment company seeking an experienced Finance & ERP Administrator to handle the accounting and administration functions of several small businesses within our portfolio. This is a long-term remote position for approximately 10 hours per week initially, with the potential to increase over time to a full time position as our businesses continue to grow. We're looking for someone who is organised, proactive, highly accurate and comfortable working independently. Experience with Odoo ERP is essential. One of the key elements we are looking for in this role is someone to develop, maintain and continually improve executive dashboards, reports and KPIs that enable management to rapidly assess business performance, identify exceptions, and make informed decisions with minimal time spent reviewing data. About the Role You will be responsible for maintaining accurate financial records, supporting day-to-day accounting functions, and ensuring our Odoo ERP system remains well organised and up to date. You'll also assist with reporting, process improvements, and general finance administration across multiple businesses. Key Responsibilities Bookkeeping & Accounting • Maintain bookkeeping to Australian accounting standards. • Perform daily and monthly bank reconciliations. • Process supplier invoices and prepare payment runs with bank online portal. • Allocate customer receipts and supplier payments. • Reconcile multiple company bank accounts. • Assist with month-end reconciliations. • Maintain accurate accounting records and supporting documentation. Accounts Receivable • Allocate customer payments. • Follow up outstanding accounts. • Send customer statements. • Process new customer account applications. • Perform customer credit checks. • Maintain customer credit limits and account records. Accounts Payable • Create and maintain supplier records. • Raise purchase orders when required. • Match purchase orders, invoices and receipts. • Monitor supplier payment terms and outstanding invoices. Reporting • Prepare weekly cash position reports. • Produce monthly Profit & Loss and Cashflow Forecast reports. • Generate debtor and creditor ageing reports. • Prepare inventory and stock reports. • Monitor cash flow and provide management summaries. Odoo ERP Administration • Maintain ERP data integrity and accuracy. • Create and maintain customer, supplier and product records. • Ensure Odoo remains the single source of truth. • Develop dashboards and improve reporting • Create and maintain workflow automations. • Identify opportunities to improve efficiency through better ERP processes. Inventory & Administration • Monitor minimum stock levels. • Produce reorder reports. • Monitor backorders and assist with inventory administration. • Maintain finance and administration procedures. • Assist with general business administration as required. We're Looking For Someone Who Has • Excellent written and spoken English. • Previous bookkeeping experience supporting Australian businesses. • Strong understanding of Australian bookkeeping principles. • Experience using Odoo ERP. • High attention to detail. • Strong Excel and computer skills. • Excellent organisational and time management skills. • Ability to work independently and manage multiple businesses simultaneously. • A proactive mindset with a passion for suggesting improvements to systems and processes.
