**Custom Web App — Order Management Platform (Phase 1)** **Budget: $5,000–$8,000 | Fixed Price | Milestones** --- **About Sky Manufacturing** Sky Manufacturing is a B2B private-label apparel company based in the US. We produce custom branded apparel, headwear, and socks for 800+ retail and brand accounts. Products are manufactured in China and shipped retail-ready directly to our customers' stores. We run on Shopify Plus and process a high volume of custom orders, each requiring a design approval workflow before production. We are growing fast and need to replace our current manual tracking systems with a purpose-built internal platform. --- **The Problem We're Solving** Today our order lifecycle is split across multiple disconnected tools: - Shopify Plus (orders) - Google Sheets x2 (Master Sales Tracker + Logistics Whiteboard — maintained separately by two different people) - Ziflow (customer booklet approval) - Zapier (automation glue) - Report Toaster (daily order report to China team) - WeChat + Excel files (China team communication and tracking updates) The handoff between our sales team and logistics manager is manual. Our China trading company sends tracking numbers in Excel files that get uploaded to Shopify by hand. There is no customer-facing update system during the 4–7 week production window. We have a detailed process flowchart (attached) that maps our full order lifecycle — from draft order to retail delivery — including every system touchpoint, manual step, and automation opportunity. Please review it before submitting a proposal. --- **Phase 1 Scope — What We Need Built** A custom web application with the following: **1. Unified Order Database** - Single order record that both sales and logistics teams work from - Syncs with Shopify Plus via API (bi-directional — order creation, status, tracking) - Ziflow webhook integration — approval status auto-updates order stage - Zapier integration for Typeform branding form data **2. Sales Team View — Booklet Pipeline** - Pipeline view of all active orders by stage: Form Sent → Booklet In Progress → In Review → Approved - Shows: customer name, account type, assigned rep, Ziflow link, current edit round, days since last activity - Stall alert: flag orders with no movement in 7+ days - FileCloud booklet URL field per order **3. Logistics Dashboard** - Replaces our current manual Google Sheet "Whiteboard" - Orders grouped by priority category: RUSH, Screen Print, At-Once, Hats - Fields: factory assignment, estimated ship date, actual ship date, status dropdown - Status dropdown: In Production → Consolidated → Packed → Shipped - Status changes trigger downstream automations (see below) - Running count of active orders by category **4. China Team Input Portal** - Simple, clean form accessible to our China trading company - Allows them to: paste tracking numbers per order, update production status, flag delays - Replaces Excel file emails entirely - Tracking number entry auto-pushes to Shopify order and updates the logistics dashboard **5. Automated Customer Milestone Emails** - Triggered by order stage changes in the platform - Milestones: Booklet Approved → In Production → Packed → Shipped - Branded Sky MFG emails (we will provide brand assets) - Fills the current 4–7 week communication gap for our retail customers **6. Role-Based Access** - Sales team login - Logistics manager login - China team login (portal only) - Owner/admin login with full visibility --- **Tech Stack Preference** We don't mandate a specific stack but suggest: - Frontend: Next.js or React - Database: Supabase or PostgreSQL - Hosting: Vercel or similar - Email: Resend or similar transactional email service - Integrations: Shopify Admin API, Ziflow webhooks, Zapier If you have a preferred stack that achieves the same outcome, explain it in your proposal. --- **What We Are NOT Looking For** - A pre-built SaaS tool configured for us (Airtable, Monday.com, Notion, etc.) - An ERP system - A Shopify app - A design-only proposal We want a custom-built web application at our own URL. --- **Payment Structure — Milestones** This project will be paid in 4 fixed milestones. No hourly billing. - Milestone 1 — Database schema + Shopify API sync working: $1,500 - Milestone 2 — Sales view functional with Ziflow webhook integration: $1,500 - Milestone 3 — Logistics dashboard + China team portal live: $2,000 - Milestone 4 — Milestone emails, role-based auth, testing, deployment: $1,500 Total: $6,500 (negotiable based on proposal) --- **How to Apply** Please include in your proposal: 1.
