Automation & AI Systems Specialist

We run a Melbourne-based content and authority-building agency and want to reduce manual administration, improve visibility across the business, and build systems that run reliably in the background without constant input from the founder. We are not looking for someone to immediately build individual automations. We want a technical partner who can recommend the right ecosystem, explain the trade-offs, and then execute. Our current ecosystem • ChatGPT: strategy, sales pipeline, reporting and operational support • Claude Code and Codex: available for custom development and AI-assisted coding • Make.com: existing integrations and automations • ClickUp: project management, production and commercial opportunities • Zoho Books and Stripe: invoicing, financials and payments • GoHighLevel: CRM, onboarding and marketing workflows • Google Workspace: email, calendar, documents and spreadsheets Our immediate priority: Revenue GPS We want a central dashboard that automatically refreshes from our existing systems and provides reliable financial and commercial visibility. • Recurring revenue, active client agreements and revenue changes • Outstanding invoices, collections and expected payments • Sales pipeline, deal values, stages and follow-up ownership • 30-, 60- and 90-day revenue forecasts, distinguishing confirmed from speculative • Key financial and operating metrics, with error alerts when synchronisation fails • AI-generated daily or weekly summaries based on verified data The bigger question we want help answering Should we build our long-term infrastructure with Claude Code / Codex and custom APIs, ChatGPT and AI agents, Make.com, or a hybrid approach? We want someone who can evaluate cost, speed, reliability, maintainability, security and scalability, then recommend a practical architecture. We do not want technology for its own sake. What you would do • Audit our current workflows and integrations and identify what should be retained • Validate API access, data quality and the best source of truth for each metric • Propose a lean architecture, including hosting, scheduling, monitoring and ongoing costs • Build, test and deploy an initial revenue dashboard with unattended updates • Document the system and hand over code, configuration and operating instructions • Help plan later expansion into production, client delivery, onboarding and reporting Who we are looking for • Strong API integration and automation experience, ideally Python or JavaScript • Comfortable with both no-code platforms and custom software • Practical experience with Claude Code, Codex, ChatGPT or comparable AI coding tools • Ability to challenge assumptions and recommend simpler approaches when appropriate • Strong testing, security, documentation and troubleshooting habits • Experience with ClickUp, Zoho Books, Stripe, GoHighLevel or Google Workspace is an advantage Engagement structure We want to begin with a paid discovery and technical assessment, then agree on a scoped implementation with milestones. This could become an ongoing technical partnership. The solution must be owned by our business, with code and infrastructure in accounts we control. Production access should follow least-privilege security practices.
