You: A full-stack developer (or small team) who wants to help a smaller business build a new operational tool, with the opportunity to develop a longer-term relationship for future support and enhancements. You should be comfortable using AI assistance for routine development while applying your own developer expertise to document, secure, test, and manage the process. Us: A small Northeastern U.S. commercial real estate company looking to transition away from a COTS product for its maintenance team in favor of something that fits our needs substantially better. What: We are looking to replace a CMMS (incumbent details will be shared with shortlisted bidders) that no longer meets our needs and creates too much friction within our core operations. We are not starting from a blank page. We have a functional specification, logical ERD, accounting/export specification, Figma direction, UI guidelines, successful legacy CSV examples, and a proposed technology direction ready for developer review. How: We’ve identified a number of well-established open-source libraries that we believe can be leveraged to accelerate development within the broader functional brief, including Mantine and TanStack, with initial deployment contemplated through Supabase and Vercel. Goal: The goal is a milestone-based, production-ready V1 with strong direction and intentional scope delineation to prevent scope creep. Separately, we would also like a proposal for a one-year support arrangement after handoff that gives everyone clear expectations and helps ensure the effort remains successful. While nothing is certain at this point, if the initial effort is successful and we validate the related operational changes internally, there is a strong possibility of a V2 with several enhancements. Where possible, we prefer to continue working with people with whom we have built a successful relationship. This is not a “make me a cool app” or “bootstrap startup building an MVP for VC investment” project. We are an established small business with defined workflows seeking a tool that helps us operate better, including a PWA for field work. The current V1 schema is approximately 40–50 tables, but the model is built around straightforward relationships such as Site → Building → Location; Entity → Lease → Location; Work Order → Labor / Parts / Assets; and Scheduled Maintenance Plan → Occurrence → Work Order. The table count grows largely because we preserve history and normalize many-to-many relationships rather than embedding excessive complexity into individual records. The documentation is detailed because we have intentionally worked through business rules, edge cases, permissions, and accounting behavior before development begins. Given that, we believe this project is best suited for a single developer or small team working directly with us. We want the developer to challenge technical assumptions where appropriate, but we do not expect a substantial discovery phase to redefine the underlying workflows.
