We are a fast-growing direct-response ecommerce company operating DTC brands in the U.S. market, and we're looking for a highly organized HR Assistant / Recruiting Coordinator to help us build and operate our hiring and people systems.
This is not a traditional administrative HR role.
We are looking for someone who is operational, detail-oriented, proactive, comfortable with numbers, and capable of taking ownership of recruitment processes from beginning to end.
If you're the type of person who closes loops without needing reminders, keeps processes organized, and enjoys building systems, this could be a great long-term opportunity.
What You'll Be Responsible For
You will help manage our recruiting and People Operations processes, including:
- Managing recruiting pipelines from application to offer
- Screening applications and evaluating candidates using structured scorecards
- Reviewing recorded candidate interviews/videos
- Keeping candidates moving through the hiring process quickly
- Communicating with candidates and sending acceptance/rejection messages
- Scheduling and coordinating interviews
- Maintaining candidate databases and hiring documentation
- Preparing contractor agreements and NDAs
- Coordinating onboarding before a new hire's first day
- Making sure new hires receive access, SOPs, tools, and documentation
- Tracking absences, contractor information, organizational charts, and people-related records
- Coordinating monthly contractor payment information
- Writing and improving SOPs for recruiting and HR processes
- Using AI tools to improve screening, documentation, recruiting, and operational workflows
- Conducting English listening assessments for selected candidates
- Eventually helping design complete hiring funnels, including scorecards, interview stages, and evaluation rubrics
Our goal is for you to eventually become capable of designing and managing recruiting processes independently.
Who We're Looking For / Must-Have Qualities
Exceptional follow-through
If you say something will be done, it gets done. You don't need repeated reminders or constant follow-up.
Strong attention to detail
You'll work with candidate information, contracts, compensation data, scorecards, deadlines, and confidential company information.
Accuracy matters.
Excellent organization
You should be comfortable managing multiple candidates, deadlines, interviews, documents, and processes simultaneously.
Strong written communication
You'll represent our company when communicating with candidates, so your messages must be clear, professional, and well-written.
Intermediate or better English
You should be comfortable reading and understanding spoken English. Perfect spoken English is not required.
High level of discretion
You'll have access to confidential information including compensation, organizational structure, performance discussions, and hiring decisions.
Comfortable with technology and AI
We use AI and automation extensively. You should be excited about finding ways to make recruiting and HR processes faster and more efficient.
Full-time availability
This is intended to be a long-term, full-time role rather than a side project.
You must also have your own computer and reliable internet connection.
Strong Advantages
Please highlight these in your application if they apply to you:
You've personally hired 6+ people from start to finish
You've managed recruitment funnels independently
You've conducted candidate interviews
You've delivered candidate rejection messages
You've participated in employee or contractor termination processes
You've created hiring scorecards or interview rubrics
You've written SOPs that other team members successfully followed
You regularly use ChatGPT, Claude, or other AI tools in your work
You've worked in a fast-moving startup, ecommerce, marketing, or remote company
This Role Is Probably NOT For You If
Please don't apply if:
You prefer primarily culture-focused HR rather than operational HR
Your experience is limited mainly to payroll or labor-law administration
You struggle to reject candidates or make difficult decisions
You need constant reminders to complete tasks
You're looking for an entry-level opportunity to learn basic HR concepts
You're uncomfortable working in a fast-paced, performance-driven environment
We're looking for someone who can begin executing quickly.
Compensation
$1,500–$2,500 USD per month, depending on experience.
Candidates with strong evidence of independently managing hiring processes or People Operations may qualify for the higher end of the range.
30-Day Paid Trial
The position begins with a 30-day paid trial at the agreed full monthly rate.
You'll receive clear performance expectations from the beginning so both sides can evaluate whether the collaboration is a strong long-term fit.
Career Growth
There is significant room to grow with the company.
A potential progression could look like:
HR Assistant → HR Analyst → HR Coordinator → Head of HR
Growth will depend on performance and your ability to take ownership of increasingly complex recruiting and People Operations responsibilities.
We prefer promoting people who build strong systems and consistently deliver results.
Our Hiring Process
Our selection process may include:
Upwork application
Short written questionnaire
Recorded video interview
Personality assessment
Live interview
Practical recruiting/HR exercise
Reference checks
Offer
30-day paid trial
The process is intentionally structured because attention to detail and the ability to follow processes are important parts of this position.
How to Apply
Please submit an Upwork proposal answering the following questions:
How many people have you personally hired from application to final offer?
Describe the recruiting process you managed.
What HR or recruiting systems/tools have you used?
How do you currently use AI in your work?
Tell us about one SOP or process you created that other people had to follow.
What is your current availability?
What monthly compensation are you expecting for a full-time role?
Please start your proposal with the words "PEOPLE ENGINE" so we know you've read the entire job description.
We're looking for someone who wants to take real ownership of recruiting and People Operations — not simply complete HR tasks.
If that sounds like you, we'd like to hear from you.
