Users of the system • Parents - see their child's daily activity, pay fees, track school van, view CCTV in allowed time window CCTV visibility must be per user and following time slot choosen by Parents • Teachers - attendance, daily activity logging, homework, communication with parents • Principal - approvals, staff attendance oversight, handling parent escalations • Owner - can have multiple branches, dashboards, finance, payroll, admissions • Driver - trip mode with live GPS from his phone • Super Admin (myself) - onboarding new schools, subscription control, activate or suspend a school Technology stack (fixed, please do not propose alternatives) • Backend: Laravel 11 or above on PHP 8.2+, MySQL, Sanctum for auth • Mobile: Flutter single codebase giving Android, iOS and web build. Riverpod preferred • Staff portal and admin console: Laravel Livewire or Blade + Alpine • Razorpay for payments including webhooks, Firebase FCM for push, Google Maps • Multi tenancy on a single database with tenant scoping enforced at query level. This point is non negotiable, if one school's data is ever visible to another school I will treat the delivery as failed. Functional scope A. Platform and administration Console for onboarding schools, subscription and limits management, activate/suspend a school, role based access (7 roles plus granular permissions), security hardening like MFA for admin login, rate limiting, audit logs. B. Admissions and student records Enquiry capture from app plus a public web enquiry form, follow ups, lead management, bulk import export, one click conversion of enquiry to admission with a guided profile wizard. Student profiles, document storage, ID card generation, old records archival. C. Attendance Child attendance for classroom and daycare (daycare with in/out timing and multiple sessions in a day), staff self attendance with location verification, parent side gate check-in, corrections with audit trail, reports. D. Payroll and HR Salary report generated from staff attendance with configurable rules, leave management, staff joining/exit lifecycle including HR letters generated on school letterhead. E. Communication and engagement Parent daily feed of the child's day, two way messaging, announcements targeted to school or branch or class or staff only, notice board, calendar, homework and classwork and lesson plans with an approval workflow, photo and video gallery with sharing controls, push and in-app notifications with user preferences, scheduled messages, parent escalation handling, in-app help section. F. Health and safety Medication requests from parents with staff workflow and reminders, allergy visibility for teachers, infant care logging with timed safety checks, controlled live CCTV viewing for parents, authorised pickup management. G. Fees and finance Fee plans and installments, online payment through Razorpay plus offline cash recording, PDF receipts and invoices, automatic reminders and configurable penalties, daycare usage based billing, expense tracking, finance dashboards which only permitted staff can see. H. Transport Vehicles, routes, stops, student assignment. Driver gets a trip mode which sends live GPS from his phone, parents see the van live with pickup/drop notifications. No GPS hardware involved. I. Academics and assessment Configurable assessment templates, teacher fills assessment per student, principal reviews, progress report published to parents as PDF. Also a per student observation log which teachers use during parent teacher meetings. J. Operations Inventory and vendor management with low stock alerts and multi branch ordering. Multiple guardians per child (upto 3 logins) with device policies. Quality expectations • Full English + Hindi from day one, every string localized • Custom design system, proper colors, icons and illustrations, light and dark mode. I will give logo and color palette. I do not want a generic template look, this point matters a lot to me • WCAG AA contrast, minimum 44px touch targets • App should handle offline gracefully for classroom workflows • Automated tests: backend feature tests including tenant isolation tests, Flutter widget tests, CI pipeline. All tests green at the time of delivery • OWASP basics, signed URLs for private media like child photos and documents • API documentation, deployment runbook, admin and user guides • Deployment on my VPS (Ubuntu, nginx, MySQL) and submission to Play Store and App Store including compliance work Deliverables • Source code in my Git repository with regular commits, not a single dump at the end • Staging and production environments running • Published Android and iOS apps • Test suites, CI and documentation • 60 days post launch bug fixing warranty What your proposal must have • Itemized estimate section wise (A to J) with hours and cost • Timeline with milestones and what I can test at each milestone • How many developers will be needed
