WhatsApp E-Commerce Sales & Order Manager – Saudi Arabia Job Overview We are a growing e-commerce business in Saudi Arabia selling fitness and sports products through WhatsApp Business, Facebook/Instagram advertising, and online sales channels. We are looking for an experienced WhatsApp E-Commerce Sales & Order Manager who can take complete responsibility for managing our WhatsApp orders from start to finish. This can be an individual freelancer, Virtual Assistant, experienced e-commerce manager, or an agency/team. The main goal is simple: manage incoming customers, convert conversations into orders, collect online payments, coordinate deliveries, follow up with customers, and continuously improve the sales process. Key Responsibilities 1. WhatsApp Business Management * Monitor WhatsApp Business messages and incoming inquiries. * Respond to customers professionally and quickly. * Answer product, price, availability, delivery and payment questions. * Follow up with customers who are interested but have not placed an order. * Maintain professional communication in Arabic and English. * Organize customer conversations and orders properly. 2. Order Management * Receive and verify customer orders. * Confirm product, quantity, price and delivery details. * Collect customer’s name, mobile number and complete Saudi delivery address. * Confirm order details with the customer before processing. * Maintain an accurate record of every order. * Track order status from confirmation until successful delivery. 3. Online Payment Management * Send customers secure online payment links. * Follow up on unpaid orders. * Verify successful payments. * Match payments with the correct customer/order. * Maintain payment and order records. * Coordinate with me regarding payment confirmations and any payment issues. 4. Delivery Management * Arrange delivery for confirmed and paid orders. * Coordinate with delivery companies/drivers. * Provide correct customer information and delivery location. * Track deliveries until they are successfully completed. * Follow up on failed/unsuccessful deliveries. * Contact customers when additional delivery information is required. * Keep delivery status updated. 5. Customer Service & Sales * Convert WhatsApp inquiries into confirmed sales. * Follow up with potential customers. * Handle customer complaints professionally. * Manage cancellations, returns and exchange requests according to company policy. * Encourage repeat purchases. * Request customer feedback/reviews after successful delivery. 6. Advertising & Sales Feedback The person hired will also monitor customers coming from our Facebook/Instagram advertisements. You will be expected to: * Review which products are generating inquiries and orders. * Identify common customer questions and objections. * Report which ads/products are performing well. * Suggest improvements to product offers, pricing, promotions and customer communication. * Suggest new products or sales opportunities based on customer demand. * Provide regular sales and customer feedback reports. 7. Daily Reporting Provide a simple daily/weekly report showing: * New inquiries * Confirmed orders * Paid orders * Pending payments * Delivered orders * Cancelled orders * Failed deliveries * Total sales * Best-selling products * Customer complaints/issues * Suggestions for improving sales Required Experience You should have proven experience in at least some of the following: * WhatsApp Business * E-commerce order management * Customer service * Online sales * Facebook/Instagram leads * Payment links/payment gateways * Delivery coordination * Saudi Arabian e-commerce market * Arabic customer communication Experience with platforms such as Shopify, Salla, Zid, Amazon.sa, Noon, Meta Business Suite, CRM systems or payment gateways is a strong advantage. Important Requirements Arabic is highly preferred, because most of our customers are in Saudi Arabia. You must be: * Highly responsive * Organized * Honest and trustworthy * Good at customer communication * Sales-oriented * Comfortable handling multiple orders * Able to work independently * Able to take full responsibility for the order process We are NOT looking for someone who only answers WhatsApp messages. We need someone who can take ownership of the complete sales and order management process from A to Z.
