We are a multifamily real estate investment company in St. Louis, Missouri. Our Pipedrive CRM contains -9,500 off-market properties and owners. We want an automated system that tells us - within days, not weeks - when any of those properties transfers ownership.
The core requirement is speed. Target: notification within 1–5 business days of the deed being recorded at the county. Solutions relying solely on aggregator data with multi-week lag (standard ATTOM/PropStream refresh cycles) do not meet the requirement. We are open to any architecture that hits the window: direct county recorder monitoring, a fast data provider, or a hybrid.

Architecture must make it easy to add St. Charles and Jefferson counties later
What the System Does
Monitors every property flagged for tracking in Pipedrive (~9,500 now, growing). New Pipedrive properties are enrolled automatically.
Matches recorded documents to our properties by parcel/APN and address (fuzzy matching where needed).
Detects new deeds, ownership transfers, deeds of trust, and other relevant instruments.
Captures seller, buyer, sale date, deed type, lender, loan amount, and document number.
Price - two stages (Missouri is non-disclosure): sale price is usually NOT on the deed but St. Louis requires you to fill out a Certificates of Value. Day one: estimate from any concurrent deed of trust (loan amount / typical LTV). Follow-up: poll the city/county assessor until the confirmed Certificate of Value price posts, then update the record.
Filters non-arm's-length noise: quitclaims, internal LLC transfers, corrective deeds, trust transfers, releases - flagged differently from true sales.
On a hit: updates the Pipedrive property record (custom fields), adds a note with transaction details, creates an activity for the acquisitions team, creates/updates the buyer as a person or organization, and sends an immediate mobile/text/Slack/email notification. No duplicate alerts.
Error alerting: if the monitor breaks or a source changes, we get notified that day - not by missing deals for a month.
Technology
Open to Pipedrive API, county recorder data, PropertyRadar, ATTOM, Regrid, webhooks, Make/Zapier where appropriate, or custom Python/JavaScript. Not looking for manual monitoring - his must be scalable and automated. Target ongoing running cost (data + hosting) under $100/month; include your estimate in the proposal.
