I own some AirBNB and other rental properties. I also run a law office. Im a solo practitioner. I need your advice and help setting up an automation for my rental real estate business and law office that uses AI for document automation to scan documents (such as invoices, receipts, income documents) that I drop into various folders and the automated system will review the documents in each folder and log them onto a corresponding excel spreadsheet for accounting purposes. For instance if I drop the August 2026 monthly electric bill/invoice from the electric company into the “Utilities” folder for rental property #1, the automation will review the invoice and log the August 2026 electric bill amount on the 2026 excel spreadsheet for rental #1 in the August 2026 electric expenses column . The folders will be named such as rental income, Utilities, insurance premiums, repairs, HOA dues, etc. For the law office there will be case expenses, continuing education, and others. Last, my wife is a realtor in Park City, UT. I would like the same automation/workflow set up for her so she can drop receipts, invoices and income documents into relevant folders and it will log them onto a spreadsheet in the appropriate income or expense column. These folders and spreadsheets will be used for income tax preparation purposes. Each rental property, the law office and my wife’s realtor business will each have its own spreadsheet and folders for each tax year. I need to have an available template of this automation to we can start over with empty folders on January 1 of each year. I have used OneDrive / office.com apps and cloud storage for many years. I can provide additional details about this project as needed.
I need the folders to be accessible for my employee so she can do the sorting and filing of the law office and real estate invoices and other documents. We work remotely and rarely work in the same physical location.
