AI Integration & Automation Specialist (Personal Productivity System) Project Type: One-time project with potential ongoing work Estimated Duration: 10–20 hours to start Experience Level: Intermediate to Expert Project Overview I’m looking for an AI Integration & Automation Specialist to help design a personal productivity system that connects my core tools — Apple Notes, Notion, Airtable, Gmail/Superhuman, Calendly, and Fireflies.ai — into one seamless automated workflow. The goal is to automate organization, note syncing, meeting summaries, and task tracking using AI and workflow automation tools. Responsibilities Audit existing tools and map out automation opportunities. Set up integrations using Zapier, Make (Integromat), n8n, or custom API scripts. Connect AI assistants or summarization tools (e.g., OpenAI, Fireflies.ai, or Notion AI) to extract insights and organize data. Automate syncing between Notion ↔ Airtable ↔ Apple Notes ↔ Gmail/Superhuman. Document setup clearly and provide simple maintenance instructions. Required Skills Proficiency with automation tools (Zapier, Make, n8n, Pipedream). Strong understanding of APIs, webhooks, and data mapping. Experience integrating OpenAI API, Fireflies.ai, or similar AI tools. Knowledge of Notion and Airtable API schemas. Excellent problem-solving and communication skills. Nice-to-Have Skills Light scripting with Python or JavaScript for custom connectors. Familiarity with personal knowledge management systems (PKM). Experience creating AI-driven task and note automation workflows. What Success Looks Like Notes, meetings, and tasks flow automatically between platforms. AI summarization and tagging work smoothly.
