UI/UX Designer for a Healthcare Work Platform — Design System + Key-Screen Redesign

About us We're a growing Dutch mental-health clinic. Internally, our team runs a custom web platform that they use every day to do real work — patient administration, invoicing and finance, scheduling, incident reporting, a knowledge base, and more. It's far more than a classic "intranet": it's the operational hub for the whole organization, and our goal is for most of our staff to work entirely from it. The situation (we'll be honest) The platform is functional and feature-rich — it works well and already does a lot. But it was built quickly, largely with AI assistance, by developers and without a professional designer. The result is that the UI/UX was never actually designed: it's visually generic (it "looks AI-generated"), inconsistent, and the navigation, information architecture, and interaction patterns were never really thought through. We know what feels wrong. We need a professional to make the product feel considered, trustworthy, and modern — the way serious clinical or financial software does. What we're looking for A UI/UX designer who has designed serious, data-dense web applications — SaaS dashboards, admin tools, healthcare/EHR, fintech, or similar — not primarily marketing sites. Someone who thinks in systems and workflows, and can make deliberate, defensible design decisions. Scope (we can phase this) Audit the current product and its main user flows. Create a cohesive design system: a functional color palette (color that means something, not decoration), typography, spacing, iconography, and reusable components (buttons, tables, cards, forms, navigation). Rethink the navigation & information architecture — multi-zone navigation, and role-based dashboards/ Redesign the key screens as high-fidelity mockups: home/dashboard, the finance module, patient/record screens, forms, etc. Deliver clean, developer-ready specs — we implement it ourselves. Deliverables A design system + component library (Figma). High-fidelity mockups of the core screens (light mode required; dark mode a plus). A short rationale for the key decisions, plus a handoff/spec document our developers can build from. You're a great fit if you Have a strong portfolio of complex web-app / dashboard / admin UI work (please share relevant examples). Understand information density, tables, forms, and multi-step workflows — not just landing pages. Can explain why behind your choices (why a color encodes status, where primary actions live, vertical vs. horizontal navigation, etc.). Communicate clearly in English. Nice to have Experience with healthcare, clinical, or other regulated/enterprise software. Experience designing role-based interfaces and design systems that developers can actually implement. Important The product handles sensitive patient data. You won't need access to real patient data for the design work, and we'll ask you to sign an NDA. We work in an existing web stack (PHP/JavaScript). We are not asking you to write code — we need design and specifications.
