AI Integration Developer & Automation Engineer — Secure Client CRM & AI Workflow

We operate a holistic therapy practice (https://www.cb-holistictherapy.ie/) and are looking for an experienced AI Programmer / Automation Engineer to build a secure, privacy-focused internal AI infrastructure. We are starting with a fixed-budget initial milestone of $300 USD to implement the foundational core batch of features, with the intention to expand into full system integration and advanced features upon successful delivery. Project Scope & Development Phases Phase 1: Initial Batch (Fixed Budget: $300 USD) Selected applicant will help finalize which 1–2 initial deliverables from the list below best fit within this $300 pilot scope: • Basic Client Database Setup: Structure client history, preferences, visit patterns, and follow-up timing into a clean spreadsheet/CRM schema. • Automated Scheduling Integration: Set up automated booking confirmations, reminders, and review requests using Calendly. • AI Email Assistant (Pilot): Build a basic AI-assisted email triage prototype to classify incoming client inquiries and draft quick replies. • Form Summarization (Pilot): Create a lightweight AI script to parse and privately summarize intake forms. Phase 2: Subsequent Scope (To Be Quoted After Phase 1) • Custom internal AI assistant fine-tuned on services, brand tone, policies, and aftercare materials. • AI intake assistant that automatically flags contraindication risks (e.g., medical history or specific conditions). • Fully unified AI system connected to calendar, email, CRM, and client records. • Secure end-to-end data privacy framework featuring consent tracking, data retention schedules, and access audit logs. Required Skills & Qualifications • Technical Skills: Python, Node.js, REST APIs, Webhooks, OpenAI API / Anthropic Claude API, LangChain or LlamaIndex. • Automation Platforms: n8n, Make, or Zapier. • Database & CRM: PostgreSQL, Airtable, or Google Sheets API. • Data Security: Familiarity with role-based access control and privacy-conscious data handling.
