We are looking for an experienced automation specialist to help us build a WhatsApp-based AI concierge system that integrates with our Odoo CRM. Our business, Sightseeing Panama, provides private tours, relocation support, and personalized full-day experiences for clients exploring Panama. Many of our leads come through WhatsApp, and we need a reliable system that can respond quickly, qualify leads, schedule calls or tours, and create/update client records inside Odoo. This is not meant to be a generic chatbot. We need a high-touch intake and scheduling assistant that feels professional, warm, and aligned with our concierge-style brand. WhatsApp Intake System Respond to incoming WhatsApp inquiries Identify lead intent: relocation inquiry, private tour, full-day tailored experience, visa-related question, existing client, etc. Ask basic qualifying questions without overwhelming the client Escalate high-value or complex conversations to a human Odoo CRM Integration Create or update contacts in Odoo Create CRM opportunities from qualified WhatsApp leads Add tags such as WhatsApp Lead, Relocation, Tour, Full Day Tailored Experience, Hot Lead, etc. Save conversation summaries and lead notes Move leads through the correct CRM pipeline stages Assign next actions or activities to the correct team member Scheduling Automation Schedule discovery calls or consultation calls Help collect preferred dates for tours or full-day experiences Integrate with Odoo Calendar, Google Calendar, or another scheduling tool depending on best recommendation Send confirmations and reminders Lead Qualification Flow The system should collect key information such as: Full name Email WhatsApp number Country/current location Visit dates or relocation timeline Service interest Number of guests Main goals or concerns Budget/seriousness indicator when appropriate Preferred call time Human Handoff Rules The bot should know when to stop and notify a human, especially for: Serious relocation leads Custom itinerary requests Pricing questions Complex visa or legal questions Existing client issues Payment or booking concerns Follow-Up Automations Follow up with leads who do not respond Remind scheduled clients Notify our team about hot leads Keep Odoo updated with status changes Ideal Candidate Has Experience With: WhatsApp Business Platform / WhatsApp Cloud API Odoo CRM integration Odoo API or external API integrations Make, Zapier, n8n, or custom middleware AI chatbot or assistant workflows OpenAI API or similar AI tools CRM pipeline automation Appointment scheduling automation Lead qualification systems Important Requirements: The system must be reliable and easy to manage AI responses must be controlled, not random or overly creative The bot should use approved service information and safe response boundaries The client experience must feel premium and personal All serious leads must be easy to review inside Odoo We need clear documentation so our team can manage and adjust the system after launch Preferred Build Approach: We are open to recommendations, but our ideal setup may include: WhatsApp Business Platform → AI/automation layer → Odoo CRM → Calendar scheduling → human handoff We are also open to using Make, Zapier, n8n, or a custom backend depending on what is most stable and scalable.
