I am looking for someone experienced with Zapier (or similar automation tools) and OpenAI/ChatGPT API to build a simple but reliable AI workflow.
This is a small Phase 1 project. I am not looking for a complicated application build.
The goal is to prove one core concept:
Can I capture information throughout my day and trust that AI will reliably find everything important afterward?
Background
I use a Plaud AI recording device throughout my day to capture:
reminders;
tasks;
appointments;
ideas;
client/work notes; and
meeting notes.
The hardware and recording experience are excellent. Plaud solves the capture problem extremely well.
However, for this project, Plaud should be treated only as the recording/transcription source.
I do not want to rely on Plaud's built-in AI summaries or action item extraction.
My experience has been that Plaud's current AI workflow is designed primarily for summarization and does not reliably extract all tasks, reminders, appointments, and commitments. Important items contained in recordings can be missed, which means I cannot rely on it as an executive assistant workflow.
The purpose of this project is:
Plaud = capture layer
OpenAI/ChatGPT = reasoning and extraction layer
The Problem I Am Trying To Solve
Most AI tools appear optimized for summarization:
"Here is a large amount of information. Make it shorter."
That is not what I need.
I need extraction:
"This information was intentionally captured. Assume it matters. Identify everything that needs to happen next."
When I press the record button, that action itself is the importance filter.
I am not randomly recording myself throughout the day. I am pressing record because there is something I need to remember, act on, or preserve.
Desired Workflow
Plaud recording/transcript
→ Zapier (or similar automation tool)
→ OpenAI/ChatGPT
→ Daily executive assistant report by email
The final output should review all recordings/transcripts and identify:
Action items
Appointments/dates/times mentioned
Follow-ups required
Commitments I made
Items I am waiting on from others
Important notes or ideas
Anything unclear that needs clarification
Accuracy/completeness is much more important than brevity.
I would rather receive a longer report with possible extra items than have AI decide something is unimportant and remove it.
Example
Recording:
"Remember to email John tomorrow about the contract changes. Also book an appointment with Lauren Friday at 3."
Incorrect approach:
"User discussed contract matters and scheduling."
Correct approach:
Tasks:
Email John tomorrow regarding contract changes.
Calendar Items:
Appointment with Lauren Friday at 3:00 p.m.
What I Need Built
Connect Plaud output to automation workflow.
Send transcripts (not AI summaries) to OpenAI API.
Create/revise the extraction prompt.
Generate a structured daily executive assistant-style report.
Send that report to me by email.
At this stage:
No calendar integration.
No task management integration.
No dashboard.
No complicated app.
Those features may come later.
The only goal right now is reliable extraction.

Explain the difference between an AI summarization workflow and an AI extraction workflow. How would you design this system to ensure important tasks/reminders are captured and not accidentally summarized away?
